Hold the shortcut and speak: on Mac the audio travels encrypted to our transcription endpoint, comes back as text and is discarded on the spot — the transcription keeps no recording and no transcript. On Windows the same work runs on your PC. What you dictate lands where your cursor was. Only if you turn on Audios sync are your dictations and the voice notes you import on iPhone kept on our servers, for 90 days, to sync your devices — audio files in the EU — and you can delete them anytime.

Kept only if you sync, never sold
For transcription nothing is kept: the audio is used to produce the transcript and discarded, while the dictionary sits in your user folder and the history is a file you can open. The one thing we keep is what you choose to sync: with Audios sync on, dictations and imported voice notes stay on our servers for 90 days — audio files in the European Union on Cloudflare R2, texts on Cloudflare D1. Turn it off, or delete every synced audio in one tap, the moment you say so.

Every hop is written down
On Mac the audio goes to api.hearflow.it and from there to Groq, Inc. (United States) for transcription. Synced audio files are stored in the European Union (Cloudflare R2) and their texts on Cloudflare D1; AI summaries also go through Groq. Every hop is in the Privacy Policy.
Mapped, not hand-waved
Providers, purposes, retention and extra-EU transfers are all listed in the Privacy Policy, with the safeguards of artt. 44-49 GDPR for the ones based outside the EU.
Transcription keeps nothing
Live dictation audio and transcripts are not stored. What stays is a usage counter tied to your account and, only while Audios sync is on, your synced dictations and voice notes for up to 90 days.
Kept on your disk, or only where you choose.
Each of these is a file you can open or a switch you can flip, and dictation behaves exactly the same with all of them off.
Your dictionary is local
The names and terms HearFlow learns live in a file in your user folder and are applied on your computer. The only thing that can leave is a new word for the improvement program, and Settings stops that.
You set the memory
Choose how long history survives — a week, a session, or nothing at all — and empty it whenever you feel like it. Audios sync is its own switch: turn it off, or delete every synced audio from our servers in Settings.
Your voice is not fuel
Live dictation audio is never kept, and no audio is ever used for training — synced audio included. The improvement program shares words, not recordings, and one switch in Settings stops it.
What people ask before installing
Where does recognition actually happen?
On Mac it runs in the cloud for the best accuracy: the audio goes to api.hearflow.it and from there to Groq (United States), and comes back as text. If that service cannot be reached and you have downloaded the local Whisper model, the app falls back to your Mac. On Windows it always runs on your PC.
What ends up written on my Mac?
Two plain files in your user library: the dictionary and, if you keep it, the history. Open them, move them, throw them away.
Is anything ever sold or handed over?
No. We do not sell data. The only recordings and transcripts we keep are the ones you sync with Audios sync, for up to 90 days, and they are never sold or handed over — besides that, only your account, your licence and usage counters. Subscriptions pay for the work.
Does my voice end up in a training set?
No. Your audio is not used for training. Live dictation audio is not retained; synced audio is kept only to sync your devices, for up to 90 days. The improvement program sends new dictionary words, never the recording, and Settings turns it off.
How do I confirm this on my own?
Dictate for ten minutes with Little Snitch or a packet sniffer open: on Mac you will see one destination, api.hearflow.it, and nothing else.
Who can see what I dictate?
Nobody but you. The text is typed straight into the app you are using; it reaches us only if you switch on sharing yourself, for example Audios sync, the improvement program or the MCP server.
Do you sign agreements for companies?
Write to info@hearflow.it: the processing is exactly the one described in the Privacy Policy, providers included, so the paperwork is short.
What stays behind if I uninstall?
Drag the app to the bin and the dictionary and history go with it. If you used Audios sync, synced copies stay on our servers until they expire after 90 days: use Delete synced audios before uninstalling, or delete your account, to remove them at once.
